01Who we are
JobPebbo provides a web app for trade and field-service businesses to create estimates, manage jobs, schedule visits, send invoices and record payments. In this policy, “JobPebbo”, “we”, “us” and “our” mean the operator of the JobPebbo website at jobpebbo.com and the app at app.jobpebbo.com.
For personal data about you as a website visitor or account holder, JobPebbo is the data controller. You can contact us about privacy at any time at info@jobpebbo.com.
02What this policy covers
This policy applies to:
- our marketing website, including the contact form;
- the JobPebbo web app, including accounts, sign-in and the documents you create;
- the private estimate and invoice links your customers open.
It does not cover third-party websites or services we link to, such as Google, which have their own privacy policies.
03The data we collect
Account and sign-in data
When you register we collect your name, email address and your password (stored only as a secure hash). If you sign in with Google, we receive your name, email address and profile picture from Google. If you use a passkey, we store its public key; your fingerprint, face or device PIN never leaves your device and is never sent to us.
Business data you enter
This includes your business profile, addresses, tax identifiers, tax and document settings, logo, products and services, item images, estimates, invoices, jobs, schedules, payment records and notes.
Your customers’ data
You may add details about your own customers, such as contact names, phone numbers, email addresses, billing and service addresses, tax identifiers, contact preferences and private notes. See Your customers’ data for how we handle it.
Contact form messages
When you use our contact form we collect your name, email address, optional phone number, subject and message.
Technical and security data
Like most online services, our servers record technical information such as IP address, browser type, device information, pages requested, dates and times, and error logs. We also keep records of active sessions so you can see and sign out of devices.
04How we use your data and our legal bases
We only use personal data where UK and EU data protection law gives us a lawful basis:
- To provide the service — creating and running your account, storing your documents, generating PDFs, sending estimates and invoices you ask us to send, and showing your dashboard and reports. Basis: performance of our contract with you.
- To keep the service secure — authenticating sign-ins, managing sessions, preventing fraud and abuse, and fixing faults. Basis: our legitimate interests in a safe, reliable service.
- To respond to you — answering contact form messages and support requests. Basis: our legitimate interests, or steps you asked us to take before entering a contract.
- To tell you about your account — service, security and policy notices. Basis: performance of contract and legitimate interests.
- To meet legal obligations — keeping records we are required to keep and responding to lawful requests. Basis: legal obligation.
We do not sell your personal data, and we do not use it for third-party advertising.
05Your customers’ data
When you store information about your own customers in JobPebbo, you are the data controller for that information and JobPebbo processes it on your behalf as a data processor. We only use it to provide the service to you, for example to place it on your estimates and invoices or to email a document when you ask us to.
You are responsible for having a lawful basis to store your customers’ details and for telling them how you use their information. When your customer opens a private estimate or invoice link, we process technical data such as their IP address and browser to show the document and record actions like an approval.
07International transfers
Some of our service providers may process data outside the UK or European Economic Area. Where that happens, we make sure appropriate safeguards are in place, such as an adequacy decision, the UK International Data Transfer Agreement or Addendum, or the European Commission’s standard contractual clauses.
08How long we keep data
We keep account and business data for as long as your account is open. If you close your account, we delete or anonymise your data within a reasonable period, except where we need to keep some of it to meet legal, tax or accounting obligations, resolve disputes or enforce our terms.
Contact form messages are kept for as long as needed to deal with your enquiry and any follow-up. Server and security logs are kept for a limited period and then deleted.
09How we protect data
We use technical and organisational measures appropriate to the risk, including encrypted connections (HTTPS), hashed passwords, passkey support, session controls and restricted access to production systems. Private estimate and invoice links use hard-to-guess addresses, so anyone who has a link can view that document; share them only with the intended customer.
No online service can be completely secure. If we become aware of a breach that affects your personal data, we will notify you and the regulator where the law requires.
11Your rights
Under UK and EU data protection law you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to certain processing, including processing based on legitimate interests;
- receive your data in a portable format;
- withdraw consent where processing is based on consent.
To exercise any of these rights, email info@jobpebbo.com. We will respond within one month, and may need to confirm your identity first. If you are a customer of a business that uses JobPebbo, please contact that business first, as it controls your data.
You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk, or to your local data protection authority. We would appreciate the chance to resolve your concern first.
12Children
JobPebbo is a business tool and is not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.
13Changes to this policy
We may update this policy as the service or the law changes. We will change the “last updated” date at the top of this page and, for significant changes, notify account holders by email or in the app before the changes take effect.
